1. Who we are
AcademIQ is a product of Invoxol (Suite 300 – 1055 West Georgia Street, Vancouver, BC V6E 3N9, Canada). For questions about this policy or about your personal data, write to hello@invoxol.com.
2. Two different roles
On this website, we are the data controller. We decide what is collected and why, and this policy governs it.
Inside the AcademIQ platform, the school is the data controller and we are a data processor acting on its instructions. Student records, attendance marks, grades, guardian details and financial records belong to the school. We process them to provide the service, and for no other purpose — we do not mine them, we do not use them to train anything, and we do not sell or share them. If you are a parent, student or member of staff and you want to know what a school holds about you, ask the school; it is their record.
3. What this website collects
Demo requests
When you submit the demo form we collect your name, work email, school or group name, your role, your campus and student counts, and optionally a phone number and a message. We use this only to contact you about the demo and to prepare for the call.
Anti-abuse data
To stop automated abuse of the demo form we briefly note the network address a submission came from, so that the same source cannot flood it. That address is held only for a short window, is never saved alongside your enquiry, and is discarded automatically.
Analytics
We use Google Analytics to count visits and see which pages are read, so we know whether the site is doing its job. It sets cookies in your browser and sends Google a record of the pages you view, together with general information such as your approximate location, browser and device type.
It is configured to collect as little as it usefully can: your IP address is truncated before it is stored, and Google's advertising and personalisation signals are switched off, so nothing collected here is used to build an advertising profile of you or to target you elsewhere. We do not run ads, and we do not share this data with anyone.
If you would rather not be counted, Google publishes an opt-out browser add-on, and any browser setting or extension that blocks analytics will block ours.
What this website does not do
- No advertising cookies, and no advertising or personalisation signals — these are switched off.
- No session recording, heat-mapping, or any attempt to identify you personally as you browse.
- No embedded third-party content, fonts or social widgets. Apart from analytics, pages load only from us.
- No marketing list. Submitting the demo form does not subscribe you to anything.
- We never sell your data, and we never share it with data brokers.
4. Legal basis
We process demo-request data on the basis of our legitimate interest in responding to a business enquiry you initiated, and, where you have entered into an agreement with us, to take steps at your request prior to entering into a contract. Anti-abuse processing rests on our legitimate interest in keeping the service available and free of automated abuse.
5. How long we keep it
- Demo requests — retained while we are in contact with you and for up to 24 months afterwards, then deleted.
- Rate-limiting records — held in memory only, discarded when the window closes or the process restarts.
- Customer platform data— retained for the life of the school's agreement, then exported and deleted according to the offboarding terms in that agreement.
6. Who else sees it
Demo-request data is seen by the Invoxol team handling your enquiry. We use infrastructure providers for hosting and email delivery; they process data on our instructions under contract and do not use it for their own purposes. We do not sell personal data, and we do not share it with advertisers or data brokers.
Where a school configures its own payment processor or email provider inside AcademIQ, data flows to that provider under the school's own arrangement with them.
7. Your rights
Depending on where you live you may have the right to access, correct, delete, restrict or object to our processing of your personal data, and the right to data portability. To exercise any of these in respect of data we control, email hello@invoxol.com. We will respond within the period required by applicable law.
For data held inside a school's AcademIQ tenant, direct your request to the school. We will assist the school in fulfilling it, but we cannot act on that data without their instruction.
8. Children's data
AcademIQ necessarily processes data about children on behalf of schools. We do not collect data directly from children through this website, and this website is not directed at children. Within the platform, access to a student's record is restricted by the school's own permission configuration, and every privileged access is written to an audit log.
9. Security
We apply appropriate technical and organisational measures to protect personal data. In summary: each school's records are held separately from every other school's; access is limited to what a person's role requires; data is encrypted in transit; passwords cannot be read back by anyone, including us; sign-in can require a second step; and significant actions are logged in a record that cannot be quietly altered. The security page describes this in plain terms, including what we do not yet claim.
We deliberately do not publish the specifics of how these measures are implemented, because that detail is of more use to someone attacking the system than to someone evaluating it. A fuller security and data-protection pack is available to schools under consideration on request.
10. International transfers
Data may be processed in a country other than the one you live in. Where that happens we rely on appropriate safeguards, including standard contractual clauses where required. A school can ask about the hosting region applicable to its tenant before signing.
11. Changes
If we change this policy we will update the date at the top of the page. Material changes affecting customers will also be communicated directly to the school's administrative contact.
